Creating a general user (access for multiple employees via one user)

General User’s account or Common User is most often requested when it is necessary to give access to the platform to employees that don’t have their work emails (since email field is mandatory when creating a user). It is reasonable to change login and a password each time someone that knows them leaves the company.

  1. In create a General User performing steps described in “Creating a new user” article. One email is necessary to create this user. Define a role for such user and give the least number of rights possible, to limit the access to the information, keeping in mind that multiple people would have it using this same account.
  1. Complete registration by following the link in the email that you’ve indicated when creating this user.


  1. Give login and password to those employees that need to access CONFORMiT via this account explaining them how to access your tenant. It is recommended to change the password each time that one of these employees would leave the company.

Please keep in mind that having a General User account shared by multiple employees significantly reduces the security of the data that you have in your tenant in CONFORMiT, since it doesn’t allow to strictly control the access as multiple employees use it, especially when they quit the company. Limiting the rights for the Role(s) assigned to such user to the minimum (for example just declare Events or Perform the Inspections or Lockout, without the right to edit any data) can be a reasonable measure to secure the information within the tenant.
